More Information - Version 2.0 Details

In version 2.0 we added lots of functionality including:
Enhanced Contact Management

We improved the contact screen in various ways:
- General tab (we made it easy to enter either individuals as (prefix, first, MI, last, suffix) or corporations or other organizations names as a single Name field. The contact category can be configured to determine which categories use which type of name entry. This makes is easier to enter donations from organizations.
- Misc tab (added spouse)
- Donations tab (we show donations made by this contact as well as soft credits for this contact)
- Pledge tab (lots of pledge enhancements, read below)
- Donation Summary tab (we added a table showing yearly donation amounts)
- Relationships tab (we added the ability to setup soft credit rules). For example when a husband gives a donation the wife is automatically added as a soft credit on that donation
- We also added behind the scenes logic to look for possible duplicates when addresses are added. This will help make sure you don't enter the same contact more than once.

Better Donation Management

- We changed the donation screen to be a screen with two tabs
- Funds now are configured so there is a default fund and you can optionally associate funds with Quickbooks classes.
- a message in red pledges available for this contact appears when you have the option of associating a donation to a pledge. In essence a pledge payment is just a donation where you specify the related pledge.
- Added the ability to indicate a matching donation. You specify the contact and the matching donation amount and a pledge is created for the matching donation.
- Added the ability to specify a receipt amount that is different from the donation amount (example: contact gives a $100 donation but receives a dinner worth $20 so the tax deductable receipt amount is $80. The non tax deductable receipt amount of $20 is calculated and available on donation receipts).

- On the second tab we show the employee who helped solicit this donation along with the list of any people involved in soft credits

Batch Donations

- From the Donations List screen you can now toggle to the Batch View. Depending on whether you want to see individual donations or Batches of donations. Example: you could enter a batch of 50 donations, totaling $5000. The benefits of doing things a batch at a time are that you can quickly enter each donation using our new batch entry screen and can post/lock the donations and export the donations to Excel or Quickbooks.

- When starting a new batch of donations you give the batch a name and then specify defaults that should be applied when entering each individual donation. These defaults just help make the data entry process easier.

- Then you add donations one at a time to the batch by supplying the minimum information (example: you would pick a contact, enter a donation amount and possibly enter the check number of the check they used). Click Enter and the donation will be listed at the bottom half of the screen. Repeat the process for all donations. You can tweak any details on any donation by opening it in the full donation entry screen.

- When you are done entering your batch of donations you can Post the batch of donations. This indicates that you have entered the donation amount(s) in your accounting system. By Posting it also locks the donations in this database so they can't be modified.

- You can optionally export a batch of donations to Excel or Quickbooks.
- The Quickbooks export creates a Quickbooks *.iif file and will add Quickbooks customers, classes, income account names, and sales receipts to your Quickbooks software. Read more about the details of the Quickbooks integration on the program help files or in the software manual.

Pledge Management Improvments

- The pledge screen was explanded to three tabs.
- The first tab is pretty close to the same as last version

- The second tab lets you specify/build the pledge schedule and payment schedule you expect for pledge payments.
- This page also shows the actual donations/pledge payments made on this pledge.

Data Importing

- We added a new option to import contact data.

- This screen allows you to click a button which builds an Excel file with all the proper headings for easy import into our software. You then open the Excel file and add data in all the appropriate places. The last step is to click a button to import the contact data and add new contacts to the system. Note: for trickier data conversion please contact RPT Software for help.

Faster and better in multi-user networked environments
- We adjusted some code so it works better across local area networks with multiple users. There was a slight delay for the second concurrent user on the system and this glitch has been fixed.

Miscellaneous Improvments
- We changed every button to either create a new entity or open an existing entity when clicked. Example: If you are entering a donation and you want to quickly jump to the contact screen to either see details on an existing contact or to create a new contact you can do it by pressing this button.
- We changed some of the dropdowns so you can specify a default value. Dropdowns changed are "contact category", "fund", "donation type" and "mail list". This helps make data entry easier.
